  • The Cost of Running A Registered Company in Kenya

    Before registering a limited company in Kenya, its important to know how much it will cost you to run the same company. It costs money to just own a company with no registered office. Having this knowledge in handy will prepare a new entrepreneur on what to expect.

    I will not delve into the cost of registering business because it variable and is done once. However, you can see a breakdown of business registration costs on the Business Registration Service portal.

    In this blogpost, I will share with you the cost of running a a registered limited company in Kenya. The information I will be sharing is based on my experience running a company Trendline Network Limited for now 5 years. Trendline Network Limited is a videography company based in Nairobi.

    In the year 2019 towards the end, I closed down our physical offices and started operation from home little before Covid lockdown came. In the year 2020, we did only one job. It was the lowest year in business and we made only losses.

    Operation costs

    So, how did I manage the costs as the only remaining director of the company?

    First thing I did was deciding to handle business the freelance way. I paid whoever worked with me per task completed and not per month. This thus gave me a space to continue looking for business opportunities while maintaining the company. When you go this route, you will save money and still maintain good relationship with your team.

    While business have not looked up yet, I have saved time and money.

    Let’s dive in further and breakdown company operation costs. Here is a list.

    Tax and Accounting Costs

    Limited company is an independent entity with its own Tax PIN. You as the director is therefore responsible for any activity that takes place within your company. You have to ensure that everything is accounted for. If you succeed to get business with a large organization, the company will expect you to charge them VAT.

    While KRA maintains that only registered traders with an annual turnover of KShs. 5 million and above are required to charge VAT. And that, there are instances where a person with less than KShs. 5 million is allowed to register on a voluntary basis, you will find your company forced to register for this obligation in order to get business with reputable organization.

    VAT obligation is the price you have to pay. When you have VAT obligation under your PIN, you will be required to remit tax monthly before 20th even if you had zero transaction during the month. According to KRA, ‘failing to comply is an offence subject to a penalty of Ksh 10,000 for every tax period failure occurs. This is in addition to other penalties prescribed in law.

    Good news is, you can do this yourself or you can hire someone to do it for you. If you hire, it will cost anything from Ksh.500-3000 a month. Annually, this translates to between Ksh.6000-36,000 annually.

    Audit Cost

    Annually, you company needs to be audited in order to remit income tax. This gives you an upper hand in getting business through the tendering process. One of the mandatory requirements when tendering is having audited accounts ready.

    This is for the purposes of remitting annual income tax. Depending who you are dealing with and the amount of work required, the minimum cost I have paid an auditor was Ksh. 10,000. This was when the annual sales was less than Ksh. 50,000.

    So when you combine this with Tax and accounting cost, it will cost a minimum of Ksh.16,000 annually.

    Tendering Cost (For Those Who Get Business Through Tendering )

    On average, when you download and print a tender online, it costs between Ksh.150-250 to print based on the number of pages. You will have to make copies and attach various documents, bind and submit. At the end, you will spend between Ksh.500-1000 to have the tender document ready for submission.

    You will also have to gather for transport cost or employ courier services to deliver the tender document. This will cost Ksh. 200-500 within Nairobi area and more outside.

    If you apply for 4 Tenders a month, you will spend a minimum of Ksh.2400. This is on occasions where you are doing everything yourself with no assistant.

    Conclusion

    Its important to note that there are other additional costs of running a business like renting a office space, paying for business permit, paying annual fees for membership to various professional entities like media council of Kenya, The society of professional consultants e.t.c.

    I hope this post sheds a light on the basic cost of running and operating a registered company in Kenya without a physical location.

    These tools are specifically useful to freelancers and anyone working online. Am certain that the same tools are available on apple phones as well.

    Everyday, an app with similar features to what you already have installed on your phone comes into the market. To remain productive in your freelancing and business career, you need to always ask yourself why you are installing a new app.

    Do you really need them?

    Can what you already have serve the purpose?

    It makes no sense to install an app similar to what you already have on your phone.

    Here are 3 free tools with features that you need to be productive as an online entrepreneur.

    Calculator

    What? You never expected this, right! But hang on first.

    Calculator is classified as a tool on android phones. In android 10 color OS, the calculator tool has new features. The first feature which is useful to freelancers working with global clients is the Exchange Rate feature. It has all currencies and its up to date. You just need to have your internet connection on to pull the latest exchange rate.

    This feature comes in handy when quoting for a service. You can quickly check the exchange rate of your client currency verses yours. e.g United States Dollars to Kenya Shillings.

    On top of the exchange rate feature, you may also need to use the unit converter. For instance, in my country, human weight is measured in Kilograms. In other countries like US, the same is measured in pounds. This feature is helpful for people in the fitness business. There are other units like length, Area, Volume, temperature, speed, power and pressure.

    Clock

    This is the second tool that is quite useful to freelancers. Freelancers and clients online work and live in different Time zones. For instance, I have clients in UK and Australia. Its therefore good to know the best time to communicate with your clients. When you open clock, you can see your time and location.

    Here you can add new time for other locations that you are interested in. To do this, click on the +button, Type in the location name on search bar and select the Time zone. The new time zone will be added to your list. This is always useful as it helps you make the right decisions. Sometimes, it not worth taking jobs from clients in some time zones.

    Screen Recording

    Finally, we have the screen recorder. This is very useful to me and anyone who offers their services as a video producer. I help clients produce professional screencast videos. Occasionally, I take orders to produce demo videos for mobile apps.

    Screen recording tool comes in handy. I can record unlimited screen videos in HD without downloading any app from Play store. Its important to note that you can record your voice alongside the screens when working a demo video for an app.

    This tool is also useful to freelancers who do Mobile app reviews. They can quickly record screens and share. To access this app, just pull down the top menu on your phone, then choose screen recorder.

    The tool will open up with floating controls on your screen. Click on it to start and stop recording. Use the cog setting feature to enable and disable sound recording. Also, you can see more features by tapping on more.

    Click the x button to close.

    Conclusion

    Before I go, Its is important to note that there are other useful tools like Compass (for Chinese Feng Shui in your house) and Digital well being that records data of everything you do on your phone. If you find yourself not very productive, I suggest that you regularly check on the digital well being app to see which apps are robbing you most of your productive time.

    The aim here is to be minimal and productive. This way, you can achieve more.

    If you own a videography and photography services company in Kenya; then on a regular basis you fill and submit tender and prequalification documents hoping that one of them will go through.

    Owing to several applications received by the tendering companies every day, new requirements are added in to beef up security and eliminate the many applications.

    In this blogpost, I will take you through some of the newest requirements when submitting dully filled tender documents via the government IFMIS portal.

    While some of the requirements are good for the tendering companies, its bad news for small businesses as some of these requirements are paid. Here 3 latest shocking ones.

    Here is one tender document for provision of Production of Video documentary that had this requirement mandatory. It was turn off for me.

    It will cost Ksh.1000 to have your company documents stamped by an advocate. Secondly, the whole procedure of getting the documents stamped will not be done online.

    Most young entrepreneurs in the videography and photography category are very creative and can mobilize resources to produce a quality documentary. However, they will he locked out because they cannot afford to pay a commissioner of oaths.

    Procuring entities should have a leeway for youths and people with disabilities when it comes to some of the mandatory requirements.

    This is because none is assured of getting the tender even after paying the price to get the documents stamped and signed.

    Provide Evidence of Stable Internet Bandwidth

    With good fiber optic infrastructure in place across Kenya, anyone can get high speed internet installed and connected to them in the shortest time possible.

    Internet speed

    Requiring a company to provide evidence of stable internet connection should not be mandatory. Even if at the time of submitting the tender, the Tenderer is using low speed internet, they can quickly upgrade if they are awarded the tender.

    In my opinion, this is unnecessary unless the tendering company is focused on hiring a very established supplier.

    Provide Evidence of Insurance Cover

    This includes; Indemnity against risk or Workman Injuries Benefit Cover (WIBA). Insurance is good especially in a workplace.

    But imagine this scenario; an entrepreneur has taken an insurance cover for a whole year and never got any tender awarded to them. Do you think he/she will renew it again? Hell no.

    I am referring here to the less established businesses. They will first look for contracts. And once they have an ongoing contract in place, they will then consider paying for an insurance cover.

    Practically, this requirement should come after one has been awarded the contract. Simple.

    This way, the tenderer will have no excuse when it comes to insurance cover. And that is it from me here.

    How to negotiate for a good pay

    If you want to get well paid for offering freelance services on contract, then you need to be a good negotiator. When negotiating for a contract, its good to have a long term perspective in mind.

    In this blogpost, I will share with you my freelance contract negotiation approach. This formula has helped me to steadily raise my hourly rate from $20/hour to $125/hour. Its important to note that the hourly above is determined by many factors.

    Key among them is value, competition, communication, reliability and guaranteed satisfaction.

    So how can one confidently negotiate a contract and win?

    Step 1; Set your Basic rate First

    Set Your Freelance Hourly Rate

    This is the starting point for new Freelancers. For me it was $20/hour. If the client requested me to give them a fixed rate, then it was $20 per min of video. When you are clear on the rates you charge, then, the client will show more interest in working with you.

    From here, the client will start asking you questions like, what does your cost cover? Base your answer on the clients original requirement. e.g Video editing. You may then start by saying it will cover video editing and 3 rounds of revisions.

    If you notice that the client is happy to pay $20/hour for video editing, think of charging them for any other request they make on top of video editing. e.g Adding background music. To begin, ask them if they are able to supply background music of their choice. Always have in handy a place you can refer them to get the music incase they don’t know.

    Once you are able to convince a few clients that your rates are purely for video editing, then now, you are ready to move on to the next step.

    Step 2; Introduce a New item To Top Up Your Original Offer

    If you are asked to breakdown your cost, will you be able to do so? That’s the importance of pricing each item in a project.

    For example, in video production, you need many components in order to put together a video. Among the components is the source video to be edited, script, voice over(if needed), background music and animated graphics.

    Price each item in the list. From there, you can have different prices with different combinations. e.g

    Video editing – $20/Min

    Scripting and video editing -$35/min

    You see the trick? That’s how negotiation goes. Additional components doesn’t have to be done by you. You can hire a script writer and negotiate a rate per number of words. e.g $3/100 words.

    Step 3; Target Clients Willing To Pay Per Hour

    Practically, you will make more money when you get paid on a hourly basis than when you are paid on a fixed price. This is because you will be paid for the time spent working on a given project.

    For example, if a clients wants a 1 minute video edited. They will pay you $20 fixed. If they pay you on hourly rate, then you can negotiate. In this case, it will be unrealistic to tell a client that it will take 1 hour to edit a video unless its just cutting out unwanted sections.

    So it will make sense to propose 3-5 hours and see how the client reacts. In many occasions, the client will offer to pay you for 5 hours max. This means you will be paid 5x the fixed amount.

    Step 4; Listen to Clients Feedback And Use it For Profits

    In video production, before you work with some clients, they will ask if you provide scripting, animation or voice over if needed in the video. Such clients are good and love to get a whole package from one producer.

    Its ok if you don’t provide. But ask yourself, can I find someone to do this and make profit out of it? You don’t have to do everything yourself. You can find other skilled freelancers to help you out.

    When you find one, add a profit margin on their charges when giving a quote to your client.

    Step 5; Review Your Rates Every 3 Months

    Deliver quality work and get stunning 5 star reviews. From there, review your hourly rates. You can increase it by $5 every 3 Months. In a year, you rates will have doubled. Base your rates on your expertise and experience.

    Step 6; Capitalize on Timelines

    Some clients are willing to pay more for fast delivery and guaranteed satisfaction. When setting your rates, let the client know how long they will wait for the video to be delivered. e.g $20/Min and 2 days delivery. Then add an extra of say $5 for delivery within 1 day.

    Have data to back yourself up when negotiating. Use the data to demand for a good pay.

    With technology now part of our life’s, anything can happen. The probability of someone using your Tax PIN or Tax Compliance Certificate to carry out unscrupulous business activities is very high.

    That’s why it is important for hiring managers and tendering companies to check validity of the Tax documents submitted by the applicants.

    The figures released last year (2020) by the US Federal Trade Commission (FTC), a consumer protection agency, show that identity theft reports were more than triple the number from 2018. Cases reached 1.38 Million in 2020 compared to 444,344 in 2018.

    According to Kenya Market Analytics report released by Transunion; an American consumer credit reporting agency in 2020, Fraud is an ongoing and increasing concern. Annual losses from identity theft and loan stacking amount to approximately KES 13.3 billion.

    What can you do about it?

  • Video Editing Formula To Edit Videos Fast With Camtasia Studio

    Like mathematics, video editing needs a formula which is different based on the software you are using to edit your videos. If you are new to video editing with Camtasia studio, the formula I am going to share with you here is going to save you a lot of time in editing your YouTube videos.

    In this blogpost I will share with you the simple formula I use in editing and creating videos for clients and myself.

    It is important to note that the reason people edit videos is to communicate the message in the shortest time possible. How best can the story be shared? It all starts with a script.

    Script/Outline

    Effective communication starts with a plan in form of an outline or a script. If you are working for a client, its recommended that you request for an outline or a script for use in video editing. This will be your guide as a video editor.

    Script outline

    It gives you an idea of what the client wants to communicate. If its your video, then come up with an outline in point format so that you can save time when recording and producing the video. This way, you will know if the information you are sharing is making sense.

    With a script or a project outline ready, you can now start producing your videos. Let’s now focus on the formula.

    Titles

    This usually comes first. What is the video about? The viewer need to know what the video is about so as to decide if the video is right for them or not. This is key. In Camtasia studio, you can modify and use existing ‘premade motion graphics templates’ under library or create your own custom titles.

    Video Titles

    If you are working on a project repeatedly, its best to create a library for your custom titles. This way you can easily import them to your timeline when working on a new video.

    Background Music

    Its good to have background music especially if you are having titles in between the video displaying for 3-5 seconds with no narration or voice over. Before starting to edit your video, find a suitable music that you will use on the background.

    Keyboard shortcuts

    Keyboard shortcuts will save you a lot of time. For instance, instead of clicking on a video and then moving your cursor to click on split icon. The easiest way to do this is to click on the video then tab on CTRL+S on your keyboard and the video will be split. Learn and master the shortcuts one by one.

    Adjust Audio Volume Accordingly

    You will need to know how to add and adjust audio points. This is key when having a background music playing all through your videos. This way you can raise and lower the music volume as you wish.

    Animate titles or Add Transitions

    Adding transitions is easy. You can therefore start with transitions as a newbie then advance to learning custom animations as you edit and produce more videos. Animated titles are always professional.

    Video Transition

    You can create a couple of animated titles and save them on your Camtasia studio library. Great brands use and reuse animated titles i.e logo, lower thirds e.t.c. This finally becomes their brand identity.

    Sound Effects

    This is a bonus. Its not necessary unless you are a pro in video production. Sound effects requires a lot of accuracy. The effect or transition you apply needs to match with the sound. If you have enough time, you can add sound effects to your video.

    When you know how to do the things I have listed above, then you have the formula at your fingertips. When you insert or create each item as needed when editing your video on the timeline, you will save a lot of time.
